Vice President of Finance, Client Services, and Operations

Job Summary: 


The Vice President of Finance, Client Services, and Operations is a key member of the executive leadership team of the family office and reports to the Managing Director.  The Vice President will have responsibility for planning, implementing, and managing day-to-day activities of the family office and the private trust company, including serving as a senior financial officer of the entities and ensuring adherence to fiduciary standards for the private trust company.  The Vice President also will provide leadership in developing the family office’s client service program and analyzing and implementing accounting, finance, and investment systems.  The Vice President is a strategic advisor to the family and colleagues.  This position requires the business, financial, tax, and relationship acumen to handle complex and confidential situations while balancing multiple responsibilities. 

Key Responsibilities:

  • Family Office Operations.  Manage the day-to-day operations of the family office; provide strategic input and decision-making leadership on issues and/or initiatives impacting the family office.
  • Private Trust Company Operations and Compliance.  Manage the day-to-day operations of the private trust company; ensure implementation and adherence to fiduciary standards; design and implement policies and procedures for fiduciary and trust management; work with Trust Officer/Compliance Manager on distribution and investment requests; assist in the planning of Administrative Committee and Subcommittee Meetings (Distribution, Investment Operations, Health and Wellness); respond to regulatory audits from the Nevada Financial Institutions Division; manage trust records and files in accordance with fiduciary standards.
  • Financial Functions.  Serve as a senior financial officer of the family office and private trust company; manage the financial functions, including treasury, accounting, budgeting, reporting, audit, tax and financial planning and analysis.
  • Financial Systems and Reporting.  Work collaboratively with colleagues, tax and legal advisors, and investment advisors to assess the accounting and financial reporting structure, articulate current and anticipated reporting needs, make recommendations for improvement, and oversee the implementation of financial management and reporting systems; ensure high quality reporting for all entities and trusts; manage periodic financial reporting including income, expense, and cash reports and forecasts for all trusts and entities.
  • Finance and Cash Flow.  Work with colleagues and outside advisors to provide financial analysis, modeling, and/or projections for planning initiatives and global cash flow and such other reports as may be needed.
  • Accounting.  Manage the accounting department of the family office; ensure timely and accurate entry of data into the accounting system; manage the preparation of trust accountings for 100+ trusts; manage accounts payable/accounts receivable process for the family office, private trust company, and related entities; prepare budgets and forecasts for these entities.
  • Tax Compliance.  Manage the completion of 500+ individual, fiduciary, and entity income tax returns at the federal and state level; coordinate tax filings with corporate tax colleagues and outside CPA firms; ensure adequate staffing and resources to allow the timely filing of all tax returns; manage IRS and state audits; manage filing of amended returns, as necessary.
  • Client Service.  Work with the Managing Director and Relationship Manager to develop a comprehensive client service program, involving accounting, budgeting, estate planning, tax planning, insurance, philanthropy, real estate, and other matters; meet with family members on various matters; serve as a point of contact for family members.
  • Investment Management.  Work with the Managing Director and external investment advisors and managers to ensure sound investment and portfolio management practices; develop meaningful reporting across the investment portfolio to keep family members and Subcommittee members apprised of investment performance and potential current and future impacts to investments and cash flow; assist in the periodic evaluation of investment managers.
  • Risk Management and Insurance.  Evaluate and review insurance policies to ensure appropriate types and levels of coverage, including review of family member, real property, and trust holdings to determine proper levels of coverage; consider alternative insurance arrangements, such as a captive insurance company, to better manage risk for the family; with the corporate internal auditor and outside advisors, evaluate, strengthen, and periodically review internal processes and procedures to maintain controls and safeguard assets and information.
  • Information Technology.  Work with IT colleagues to provide safe, secure, and effective information technology systems; work with the Managing Director and IT colleagues to leverage technology to effectively improve the operations of the family office and private trust company; evaluate existing IT systems and recommend improvements, including general ledger accounting system, document management system, and investment reporting system.
  • General Administration.  Work with the Managing Director to manage professional service providers and associated budgets; manage relationships with, and oversee the activities of, outside professionals as appropriate; help attract and retain key talent and outstanding colleagues.
  • Significant Projects. Take active role/oversight from a financial perspective in projects that have the potential for significant impact on the organization.

Minimum Skills, Knowledge and Abilities:

  • Bachelor’s degree required; CPA required; MBA a plus. 
  • Minimum of 10 years of related experience working in a family office with tax, estate planning, and trusts, preferably involving a family business or investment management program. 
  • Strong experience in finance, accounting, trust accounting, contracts, budgets and cost control principles including Generally Accepted Accounting Principles and financial reporting systems. Knowledge of federal and state financial regulations and tax laws. Ability to analyze financial data and prepare financial reports, statements and projections.
  • Highest level of integrity, honesty to report to the Managing Director and family members in an open and unbiased manner. 
  • Demonstrated experience with handling and maintaining highly confidential information in a discreet manner without breach of confidentiality.
  • Strong intellectual capacity, critical and analytical thinker; possesses a fact-based approach to the analysis of business problems and opportunities. Displays executive presence, seasoning and maturity. 
  • Highly motivated and results oriented leader of both people and projects, who can attract and develop talent. 
  • Exceptional communication and facilitation skills with ability to present information in both verbal and written formats to a variety of internal and external audiences.
  • Prior experience successfully leveraging forward-looking risk mitigation strategies and tactics. 
  • Ability to manage multiple projects simultaneously with superior attention to detail. 
  • Strong systems aptitude and proficiency, including expert Excel skills. Proficiency in other Microsoft Office and accounting/financial reporting systems strongly preferred.
