Vice President of Accounting at ~$1B Family Office

Position Description

The clients are successful entrepreneurs who own, oversee and manage varied investments and business interests through their personal business office.  The clients are seeking an individual for the position of Vice President – Accounting to provide accounting, tax compliance and financial planning services relating to the investments and business interests.  The Vice President – Accounting would manage day-to-day financial affairs and provide oversight of the clients’ various financial, trust and philanthropic interests.  The Vice President – Accounting would: assist in continuing the implementation of comprehensive estate, gift and income tax strategies; provide general financial guidance; and act as a liaison between the clients and their other outside advisors including lawyers, accountants, investment professionals, tax experts, insurance and others.  The position is based in Connecticut and will report directly to the clients.

Responsibilities

Accounting & Reporting

  • Prepare quarterly financial statements, including balance sheet and income statements.
  • Manage and operate client’s bill pay and bookkeeping functions.
  • Conduct expense tracking, reviewing major vendor bills.
  • Manage and reconcile activities within client’s bank, brokerage and credit card accounts.
  • Prepare or have prepared, a monthly investment statement, showing allocation of assets and performance including calculations of internal rate of return (IRR) and multiple of invested capital (MOIC) where appropriate.
  • Track interest, dividends, capital calls and distributions.
  • Liaising with trustees in administering trusts.
  • Monitor and facilitate philanthropic grants and foundation activities.
  • Prepare monthly or quarterly cash flow statements.

Tax Administration

  • Monitor and insure timely preparation of individual income tax returns.
  • Oversee the reporting of 1099s.
  • Assist in preparation of estimated tax payments.
  • Organize all documentation related to tax filings.

Financial Planning

  • Prepare annual budgets with appropriate monitoring.
  • Proactively work in partnership with internal and external resources on income tax efficient and optimization strategies.
  • Work in partnership with estate planning attorneys to continue enhancing wealth transfer strategies.
  • Review cash flow schedules from investments and plan liquidity requirements.
  • Develop funding strategies for new investments.
  • Evaluate new investment opportunities in financial assets as well as in real estate.
  • Review investment documentation.
  • Review and monitor insurance coverage for all properties.
  • Oversee major projects related to client residences.

Systems and Financial Infrastructure

  • Review and manage the accounting information systems, suggesting enhancements when appropriate.
  • Regularly review financial policies and internal controls.
  • Review bill pay and bookkeeping systems, enhancing it if necessary.
  • Ensure adequate cyber security techniques are in place and regularly monitor it.
  • Safeguard integrity of personal business data.
  • Determine need for comprehensive investment data aggregation system. If needed, conduct search and assessment for installing one.
  • Review system for documentation and storage. Determine if an enhanced process is additive for storing legal documents, tax documents and other filings.
  • Determine which activities should be outsourced as opposed to performed within the personal business office.

Required Skills & Experience

  • CFO or chief accounting officer at a personal business office or similar entity.
  • 10 plus years of public accounting experience.
  • Certified Public Accountant; Certified Financial Planner optional.
  • Bachelors’ degree in accounting or finance preferred but not mandatory.
  • Experience with state-of-the art accounting systems.
  • Working ability with advanced Excel, Quicken, Quick Books, Microsoft Dynamics or similar systems.
