Senior Accountant

Description

The Senior Staff Accountant is responsible for developing financial statements, cash management, adhering to a strong environment of internal control and internal audit of tax preparation, tax planning, and in-depth financial analysis. This role has significant interface with the 1911 Office Board, outside vendors, key advisors, and family members.

Primary Responsibilities

  • Monitoring general accounting processes to ensure accurate data entry
  • In-depth financial analysis
  • Collaborate with employees and family members to ensure sound financial management

Accounting and Financial Analysis

  • Monitor the accounts payable and receivable processes to ensure accuracy
  • Prepare accounting records, including financial statements and other financial reports
  • Maintain general ledger accounts and post entries into proper accounts
  • Advise management on cash flow needs of the various entities
  • Prepare financial reports for outside vendors, advisors, and family members
  • Compile information and prepare spreadsheets for internal and external statement preparation
  • Audit trial balances and financial reports from outside vendors
  • Collaborate with the COO on budget development and prepare budget-to-actual reports.
  • Work with investment fund clients to provide detailed reporting on investments and ensure appropriate documentation and compliance
  • Coordinate trust distributions
  • Handle the accounts receivable process by preparing invoices to clients and following up for payment

Tax Coordination

  • Review financial statements and compile year-end tax information for tax return preparation, ensuring agreement between financial statements and backup documentation
  • Review engagement letters, coordinate signatures and return to tax preparers
  • Communicate with tax preparers throughout the tax preparation process and at other times as needed
  • Review draft copies of tax returns before filing
  • Coordinate the timely filing of extension applications and tax returns
  • Post adjusting journal entries to accounting software and confirming agreement between tax returns and books
  • Coordinate payment of quarterly estimated tax payments and payments due with tax filings
  • Respond to tax notices received from federal and state taxing authorities
  • Distribute K-1 schedules to appropriate parties
  • Ensure compliance with all federal and state filing requirements

Team and Client Support

  • Collaborate and work effectively with team members, clients and external advisors and vendors
  • Attend and present reports at various family and staff meetings
  • Conduct research, compile data and prepare paperwork for presentation for family members and staff as requested
  • Review meeting minutes to ensure accuracy when distributed for feedback by the minute-taker in a timely manner
  • Prepare and modify documents including correspondence, reports, drafts, memos, and e-mails as requested
  • Provide support for projects as they arise
  • Provide additional duties as required

Requirements

Qualifications, Skills and Knowledge Required:

  • A bachelor’s degree in accounting or equivalent with five years of accounting and finance administration experience
  • Experience working with multiple business entities and clients at the same time
  • Understanding of and ability to adhere to GAAP standards
  • Knowledge of current tax laws
  • Experience with high-net worth individuals and families, including investments and trusts highly desirable
  • Knowledge of financial management strategies
  • High level of attention to detail and accuracy
  • Demonstrated ability to set priorities, organize workload, manage competing demands, meet deadlines
  • Excellent computer skills and knowledge of relevant software, such as QuickBooks, MS Office, etc., with a strong ability to learn new software and systems; Sage Intacct experience preferred
  • Excellent problem assessment and problem solving skills; exercises sound judgment
  • High level of initiative and ability to anticipate next steps
  • Excellent interpersonal skills; warm, engaging and able to work effectively with many different personalities and styles
  • Strong written and verbal communication skills
  • Knowledge of administrative procedures and systems such as filing and record keeping
  • Team player working in a positive and helpful manner with family and staff
  • Highest level of integrity and commitment to maintaining confidentiality
