MANAGER OF TAX, TRUSTS, AND ESTATES

The Company: 

Seaside Ohana Investments, Inc. (SOI) is a single-family office serving generations 2 – 5 with a full range of financial services.  The family office is headquartered in Honolulu, HI with a satellite office in Denver, CO.  This position is in the Denver office.  The position will report to the Vice President of SOI, with dotted line responsibility to the CEO.  This is an exciting opportunity to be part of a multi-state team serving a successful multi-generation family. 

Job Summary: 

Responsible for oversight of the tax function, and the planning and administration of trusts and estates for over 47 individual beneficiaries/grantors including financial statement review, tax compliance coordination, and document/record maintenance.  Assist with financial planning to optimize financial outcomes in the areas of investments, financing, insurance, and estate planning.  Meet periodically with clients to review financial results.

Job Qualifications:

  • Bachelor’s degree required.  Advanced degree preferred.  Accounting, tax, and/or law concentration preferred. 
  • 7+ years of combined financial work experience in a CPA firm, bank trust department, law firm, or similar.
  • CPA preferred.  CFP®, or J.D. a plus.
  • 5+ years of experience in estate and gift planning; trust administration and accounting; life insurance; income, estate, and gift tax compliance and/or tax planning required.  Additional experience with investments and financial planning a plus.
  • Ability to communicate clearly, both written and verbally, with internal and external parties.
  • Strong organization and management skills to meet deadlines while maintaining good relationships with Family Office clients and staff members.
  • Strong analytical skills with proficiency in Excel and Word.  Experience with Quickbooks is a plus.
  • Self-directed with positive and service-oriented attitude. 

Job Responsibilities:

Tax Compliance

Individual, Trust, and Business Entity Income Tax Compliance:

  • Oversee the tax function by coordinating with external CPA firm, staff members, and family clients and maintaining tracking systems.
  • Assist with tax preparation by gathering tax documents and providing external CPA firm with relevant documents and commentary.  Coordinate with other staff members to do the same.
  • Final review of income tax returns prepared by external CPA firm.
  • Assist with tax notices and audits as needed.  Follow-up on income tax refunds as needed.
  • Oversee compliance with retirement account Required Minimum Distribution (RMD) requirements
  • Assist with charitable gift and tax planning.  Seek opportunities to reduce taxes and communicate with family clients.

Trust Administration and Estate Planning

Trust Administration and Compliance:

  • Assist trustees, beneficiaries, and family office staff with administering trusts according to trust agreements.
  • Assist accounting staff with financial reporting for trusts that require principal and income reporting.
  • Review annual trust financial statements prepared by accounting staff.

Estate Planning and Compliance:

  • Update estate planning projections for family members and recommend improvements.  Participate in client meetings.
  • Assist with gift planning and administration.
  • Track annual gifts by family member for purposes of providing information to external CPA firm
  • Update trust summaries for new and existing trusts.
  • Oversee electronic and paper files for estate planning and legal matters.
  • Coordinate annual preparation and final review of gift tax returns.
  • Maintain documentation of settlor’s intent in creating new trusts and save in perm file.
  • Maintain inventory of all estate planning related documents with dates of most recent restatement or amendment
  • Assist with estate tax returns as needed.
  • Work with outside counsel as needed to draft new documents or amendments.

Life insurance and Medical Insurance Oversight

Maintenance of Company-Owned and Family-Owned Life Insurance Policies

  • Annually work with external life insurance broker to evaluate payment of premiums to keep policies in-force for desired time frame
  • Present annual review of policies administered by external life insurance broker and recommend premium payment amounts.
  • Annually evaluate desired death benefit amount for variable life policies.
  • Coordinate with external investment advisor and external life insurance broker for periodic changes to investment allocation for variable life policies.
  • Coordinate changes to life insurance policies with applicable broker.

Maintenance of Family Health Care Plans:

  • Serve as an authorized agent for various insurance providers and assist with administration of plans.
  • Prepare participant annual open enrollment communication.
  • Coordinate with office administrator for annual open enrollment.

Financial Planning

  • Assist with periodic review of investment performance, including cash flow analysis.
  • Assist with financial transactions like home purchases and obtaining a mortgage.
  • Assist with the evaluation of sufficient life, property, and liability insurance.
  • Assist with planning for college and retirement.
  • Assist with prenuptial agreements as needed.
  • Meet periodically with family members to review results and present planning opportunities.

Family Office Development and Administration      

  • Follow policies and procedures established by the Company.
  • Maintain absolute confidentiality regarding all financial and family relationship information.
  • Assist in the maintenance of electronic network system that supports all the functions of the Company. 
  • Assist in development of processes to improve efficiencies.
  • Act as an ambassador of learning and guidance to all members of the family and family office.
