Investment Operations Specialist

Job Summary

A St. Louis based; multi-generational, single-family office seeks an Investment Operations Specialist to join the Office’s Finance Team. The position includes a range of responsibilities in support of the office’s overall investment and wealth management functions. Chief among these is investment information integrity; ensuring all information within the office’s wealth management platform is accurate and up to date and establishing and maintaining the flow of investment information from the office’s wealth management platform to its accounting platform. In addition, this role would have primary responsibility for cash flow planning and management and be responsible for collecting and providing all information in support of tax preparation. We seek an individual who is organized, detail-oriented, able to multi-task, a complex problem-solver, and has an analytical mindset. Alignment with the family’s values of respect, fairness and integrity are required. The position will report to the Director of Finance.

 

Duties & Responsibilities

Investment Information – Integrity & Reporting

  • Ensure the accuracy of all financial and non-financial information within the office’s wealth management platform (WMP).
  • Ensure the timely and accurate capture of all investment related information into the office’s WMP. This information is sourced from myriad 3rd party advisors implementing a wide range of strategies across multiple, complex and dynamic investment portfolios.
  • Establish and maintain processes for transferring relevant investment information from the office’s WMP to its accounting platform. Become the office subject matter expert on the transfer and maintenance of this information.
  • Develop robust processes to test and validate information accuracy on an ongoing basis
  • Prepare, in coordination with the Director of Finance, quarterly and annual reports:
    • aggregated overview of assets - including a summary of assets held, fees, concentrations, risk exposure, etc.
    • individual family member investment assets
  • Act as office lead to maintain the connectivity between the Office’s myriad 3rd-party investment providers and its Wealth Management Platform
  • As directed, research and analyze current and potential investments, and provide reports and recommendations as required.
  • Prepare ad hoc reporting and analysis for family and/or entities as necessary

 

Cash Flow Planning and Management

  • Organize, codify, and enhance the overall cash flow planning and management processes.
  • Create monthly cash flow forecasting reports for all designated entities.
  • Maintain adequate cash levels for all accounts as directed.
  • Codify and improve the cash transaction process.
  • Initiate and ensure security of all cash transactions for the office.

Tax Preparation Coordination

  • Create and maintain a database of all tax related documents and tax filings.
  • Manage the timely collection of all tax inputs and provide reports as needed.
  • Coordinate delivery of tax documents to the office’s 3rd party tax preparers
  • Coordinate receipt, review, signature, required payments, and mailing of all tax filings

 

Qualifications

Education/Experience Qualifications

  • Bachelor’s Degree required with emphasis in Accounting or Finance preferred
  • Family office or investment firm experience strongly preferred
  • Three or more years of experience in investment, accounting, family-office or related fields
  • Strong working knowledge of investment and cash management principles and practices preferred
  • Proficient in Microsoft Office suite of tools including Outlook, Work, PowerPoint, Excel is required
  • Experience with wealth management and/or accounting technology platforms desired
  • Knowledge of financial terms
  • Previous financial planning experience desired
