HomeBase Family Office Client Billing Manager - Single Family
Cozen O'Connor and its HomeBase Family Office affiliate is seeking an individual to perform bill pay functions for firm clients. You will be expected to develop and maintain subject matter expertise and best practices standards in the performance of these duties, as defined by HomeBase and our clients. This position is full-time and it may be remote so long as the individual can travel when needed to client meetings and/or department functions.
The successful candidate is someone who takes pride in delivering client service that is superior in quality and accuracy. He or she must enjoy helping others by completing time-sensitive/time-pressured work, and should enjoy accounting, bookkeeping and similar work with numbers. The successful candidate will have the judgement necessary to transact a large number of financial transactions while understanding when a matter should be escalated for additional scrutiny. This position requires extensive interaction with client family members, so a compelling telephone persona, a great attitude and a desire to help others is required.
Responsibilities and Duties
- Perform Client BillPay Services Including;
- co-manage the clients’ transition into HomeBase Bill Pay Service,
- schedule, characterize and code the bills in TrustDesk,
- set-up and maintain Name Address records for each vendor,
- for every bill, identify the appropriate client and the related bill-pay account,
- follow the client’s procedures for authorizing each bill paid,
- pay the bills,
- scan and digitally file paid invoices into clients’ electronic files,
- review monthly/quarterly bill pay activity reports for accuracy.
- Gather, Organize and Document a Large Number of Client Bills;
- ensure that all clients’ bills are accounted for either electronically or paper-mailed,
- organize bills by client, entity, registration and due-date,
- using out of the box thinking, develop creative solutions to solve client problems,
- perform a “first line review” of each invoice, for reasonableness, in order to detect errors or billing fraud,
- have the judgement to escalate a matter when necessary,
- proactively seek missing or incomplete bills so as to avoid late payments and penalties.
- Monitor Cash Balances, Initiate Cash Transfers to Replenish Accounts, Maintain Operational Awareness to Predict Future Needs;
- be the client’s contact person for monitoring the cash balances in HomeBase BillPay accounts,
- initiate cash transfers into HomeBase to replenish BillPay account cash balances when needed.
Qualifications:
- At least 6 years of financial services experience required.
- Client Bill Pay experience desired.
- Trust and fiduciary account experience preferred.
- Bachelors in Accounting, General Business, or other related field preferred.
- Attention to detail, analytical skills and strong organizational skills essential.
- Professional communication both written and verbal.
- Ability to work professionally with attorneys, staff and vendors
