Foundation Administrator

The Organization:  The Family Foundation was founded to express the charitable values of a caring family.  The Foundation culture is based upon the Foundation values of community, service, family, integrity, responsibility and humility. 

Since its founding in 2000, the Foundation has consistently grown in charitable assets and now provides over $1 million in grants annually.  The greatest areas of interest for the family's giving include: Providing a better chance to urban youth and families living in poverty in the Twin Cities, protecting, preserving and restoring water in Minnesota's watersheds, and decreasing poverty for youth and families in developing communities.
The Family Foundation receives office space and professional services from the Family Office.


Position summary: The Administrator works in partnership with, and reports to, the Executive Director to serve the family and community through charitable activities. 

The Administrator oversees the administrative systems for the Family Foundation.  The position maintains the grants data base and filing systems for foundation records.  Utilizing the grants data base, the administrator configures application forms, tracks grant making process and prepares reports.  Additionally, the position provides general administrative support.

This is a new position with plans for it to be part-time at 20 hours a week.  During busier grant times in August through December, additional hours may be worked.  Due to part-time status, this position is not eligible for benefits.

Primary Responsibilities include, but are not limited to:
Grants Administration
• Configure database forms, including application forms, grant partner reports, grant review documents, and evaluation forms.
• Manage logging, classifying, tracking and data entry of letters of inquiry, proposals, awarded grants, receipts and reports in database and filing systems.
• Assist in preparing materials for task force, committee and board meetings.
• Assure appropriate due diligence procedures are in place and utilized.
• Continually improve grants management process and update systems and manuals.
• Design and generate queries, reports and graphs.
• Respond to inquiries from applicants regarding online application and technical support.

General Administration
• Handle administrative functions including preparing and proofreading correspondence, reports, and other documents.
• Coordinate development, preparation and distribution of Foundation Board meeting packets three times a year.
• Maintain philanthropic department filing system.
• Continually improve and update grants management procedures; keep procedures manual current.
• Prepare materials and facilities for Foundation meetings.

Qualifications:

Basic
• Previous foundation or nonprofit experience desired.
• Minimum Education requirements: Associate's Degree and 3 years of successful experience in providing technical and administrative support.
• Experience with relational databases; adept at database configuration and report functions.
• Proficient in MS Word and Excel including creating charts and graphs; strong aptitude for learning new and/or specialized software programs.
• Part-time at 20 hours a week with potential for additional hours during peak times.
• Vacation: 10 days/year (4 hour days)
• Office Location: Golden Valley, MN
