Family Office Manager
Candidates should be detail-oriented with exceptional follow-through skills and possess a high level of integrity and discretion in handling all confidential information. Ideally, the candidate will be someone who has previously worked in philanthropy, taxes/accounting, or concierge services. Also, candidates should be adept at utilizing software solutions, such as Microsoft Office 365, Citrix, SharePoint, and Zoom. The job offers flexible hours and location, enabling work from a home office with occasional on-site meetings and the potential for infrequent travel as projects necessitate.
Specific job responsibilities will include, but not be limited to:
• Provide high-level administrative support to the family office and philanthropic foundation
• Manage ongoing relationships within a broad range of personal, business, not for profit organizations, healthcare and professional services
• Coordinate with family office accountant for bookkeeping support
• Coordinate day-to-day scheduling and update contact databases
• Maintain document filing systems, both paper and digital, for efficient access and retention
• Create and document streamlined procedures for easy reference
• Project management including correspondence, scheduling, and research
• Monitor incoming paper, digital and voice communications, and prioritize, process, or respond
• Keep family office and foundation updated and informed regarding operations, including any concerns • Manage Foundation website coordinating with outside party for further development
Required Skills / Experience:
• Reside within the greater Chicago metropolitan and suburban area
• College education
• 1-5 years’ experience as an assistant supporting a C-Suite level executive and/or with a family office preferred
• Strong technology skills and familiarity with Citrix / SharePoint and Office 365
• Excellent communication, organizational, and project management skills
• Solid work ethic, self-motivated and goal oriented.
