Family Office Administrator

Position Summary:


A small but growing innovative family office located in Oak Park, IL would like to hire an
Administrator to join their leadership team. This person will develop and support the procedures,
processes, and structure of the family office. They will support daily administrative operations of
the office, while contributing to the development of best practices and risk mitigation as well as
all duties as assigned. In addition, the employee will provide primary administrative and
executive support for the President and the functions of the Office.

Requirements:


Prior office and administrative operations experience along with an associate’s or bachelor’s
degree in business management/administration or related fields required. A person with
experience in staff management is a plus. Ideally, we are looking for someone that will have
familiarity with legal contracts, trusts, investments subscriptions and/or with high-net-worth
principals. Must have exceptional administrative, teamwork, and communication skills with
strong technology, software/Apps knowledge and project management ability. The ideal
candidate is unflappable, smart, and who has the highest level of follow-through on initiatives.


Primary Responsibilities:

  • Administer selected HR function including: administer employee benefits, track PTO and schedules, and foster a positive, developmental work environment.
  • Liaise with attorney, accountants, wealth managers and trustees.
  • Preparation of all (or selected) documents and reports for management meetings (agendas, deliverables, and project updates).
  • Keep President updated and informed with open and transparent communication of operations, employees’ work, and service providers – including any concerns.
  • Interface and collaborate with our external IT/Systems team to coordinate the daily needs and functions of the team from an IT functionality perspective.
  • Develop / manage a physical and digital filing system for documents related to investments in the portfolio of the family office for efficient access and retention.
  • Responsible for Office operations. This person will be responsible for ensuring that we have smooth office operations, ensuring that all of the office needs are met, maintaining a positive relationship with the landlord of the building, and managing the upcoming office build out and office move. It is also expected that this individual will work with other team members on various meeting and/or events to be held at our office.
