Family Enterprise Administrator

ADMINISTRATOR

THE LUMPKIN FAMILY ENTERPRISE

The Lumpkin Family Enterprise Administrator provides support for the Family Council, the SKL Board, the Family Assembly, and the annual Family Reunion and Meeting. The Administrator reports to the Family Council Chair in all matters with the exception of work for the SKL Board in which case the Administrator reports to the SKL Board President.

The Administrator has strong organizational skills, is equally comfortable working independently and collaborating, and is a detail-oriented and creative problem-solver. With excellent interpersonal skills, this individual is a proactive communicator and prioritizes discretion and confidentiality. Critical competencies include computer applications such as Word and Excel, social media and other cyber-communication platforms. Experience navigating families and family office environments is preferred.

Terms: Part-time independent contractor, with potential to increase the scope of the position and hours worked. Compensation is dependent on skills and experience.

Family Council

  • Schedule, set up, and record all Family Council meetings; notify and remind attendees.

  • Attend all Family Council meetings.

  • Assist in preparation of, distribute and manage Cloud storage of meeting agendas, minutes, and all

    shared documents.

  • Document and track progress on annual work plan and specific tasks.

  • Develop annual Family Assembly budget, including communicating with SKL staff, for approval by

    Family Council.

  • Other projects as needed.

    SKL Board

  • Schedule, set up, and record all board meetings; notify and remind attendees.

  • Attend all board meetings.

  • Create, distribute and manage Cloud storage of meeting agendas, minutes, and all shared

    documents.

  • Document and track progress on annual work plan and specific tasks.

  • Other projects as needed.

    Family Assembly

  • Attend all Family Assembly meetings.

  • Coordinate with Family Council, Foundation staff and SKL staff, as needed, to plan and schedule

    recurring Family Assembly meetings.

  • Lead planning for annual Family Assembly meeting in collaboration with Family Council.

  • Schedule, set up, and record meetings; notify and remind attendees.

  • Assist in preparation of, distribute and manage Cloud storage of meeting agendas, minutes, and all

    shared documents.

  • Manage, or oversee those who manage, meeting technology including video-conferencing, document

    sharing, and other software and hardware aspects.

  • Liaise with all presenters regarding scheduling, materials and any needed support.

Annual Family Reunion and Meeting

• Virtual Meeting
o Collaborate with Annual Family Reunion and Meeting Chair
o Schedule, set up and record planning meetings; notify and remind attendees.
o Create, distribute and manage Cloud storage of planning meeting agendas, minutes, and all

shared documents.
o Schedule, set up and record Reunion and Meeting sessions; notify and remind attendees.
o Create, distribute and manage Cloud storage of Reunion and Meeting session agendas, minutes,

and all shared documents.
o Manage, or oversee those who manage, meeting technology including video-conferencing,

document sharing, and other software and hardware aspects.
o Liaise with all presenters regarding scheduling, materials and any needed support.

• Onsite Meeting
o Collaborate with Annual Family Reunion and Meeting Chair
o Schedule, set up and record planning meetings; notify and remind attendees.
o Create, distribute and manage Cloud storage of planning meeting agendas, minutes, and all

shared documents.
o Assist in venue selection
o Assess attendee food needs, and in collaboration with Annual Family Reunion and Meeting Chair

create daily menus for meals.
o Manage all communications with hotel, overseeing housing assignments, meeting rooms, dining

settings, meal planning, technology and any needed supplies.
o Track contract, including ensuring that contracts are signed and returned on time and

coordinating with SKL to ensure timely payments of deposits and bills.
o Develop daily schedule in consultation with Annual Family Reunion and Meeting Chair.
o Communicate all logistics to attendees.
o Schedule, set up and record Reunion and Meeting sessions; notify and remind attendees.
o Create, distribute and manage Cloud storage of Reunion and Meeting session agendas, minutes,

and all shared documents.
o Manage, or oversee those who manage, meeting technology including video-conferencing,

document sharing, and other software and hardware aspects.
o Liaise with all presenters regarding scheduling, materials and any needed support.
o Consult with Annual Family Reunion and Meeting Chair regarding entertainment and recreational

activities.
o Oversee ordering and receipt of any supplies.
o Coordinate local transportation as needed.
o In consultation with Annual Family Reunion and Meeting Chair determine gifts to be distributed

during the event, and, adhering to agreed upon budget manage the purchase and distribution of

gifts.
o Liaise between attendees and venue on any issues that arise during the course of the event. o Work with Family Council to design evaluation process, and administer that process.

Cross-Enterprise Administration

  • Maintain online calendar of all Enterprise meetings.

  • Maintain online calendar of all family and staff member birthdays.

  • Track all staff employment anniversaries in five-year increments.
