Job Summary:

This position supports the CEO as both an assistant and with general legal duties. A proactive work ethic, the ability to anticipate needs, strong decision-making skills, attention to detail. Strong interpersonal and communication skills along with the ability to work collaboratively as a team are also required.

Key Responsibilities

  • Executive Administrative Support
    • Provide high-level administrative assistance to the CEO and/or other assigned leadership staff
    • Arrange travel and accommodations for executives
    • Schedule meetings, welcome guests, and take minutes
    • Prepare internal and external correspondence, reports, and presentations
    • Perform office management tasks, including maintaining records and ordering supplies
    • Manage special projects and perform additional duties as assigned by executives
  • Paralegal/Legal Administration
    • Coordinate, draft, review, register, and maintain organizational legal and governance documents
    • Maintain entity and corporate lists/files, real estate files, trust list/files, and org charts
    • Manage corporate compliance and Human Resources calendars and filings
    • Coordinate real estate, financing, and corporate transactions
    • Manage contract preparation, approval, execution, and filing (vendor, NDAs, leases, loan documents)
    • Manage insurance renewal process, maintain insurance records, coordinate with brokers and insurers on claims or other insurance needs
    • Participate in the creation and review of company policy documents and templates
    • Notarize documents
    • Furnish copies of corporate documents as requested by other departments and outside relationships
    • Conduct legal research as requested

Required Skills/Abilities

    • Proficient with Microsoft Office Suite or related software

Education and Experience

    • Associate degree in Paralegal Studies or related field required; Bachelor's degree in Paralegal Studies or related field preferred.
    • Paralegal certificate required
    • At least 3 years of real estate, investment, trust, or corporate paralegal experience preferred
