Executive Assistant to the CFO
Company Overview:
We are a single family office with both significant operating businesses as well as an internally managed asset management division that report up through the family office Chief Financial Officer (“CFO”). This family office combines asset management, cash management, risk management, financial planning, lifestyle management, administrative, accounting, estate planning, and tax services for each family member.
Overview & Responsibilities:
The Family Office Assistant to the CFO is responsible for providing full administrative support to the CFO in a growing and active family office: organizing, coordinating, and maintaining multi-layered calendars and project deadlines. In this fast-paced environment flexibility, adaptability, and attention to detail are paramount.
This includes, but is not limited to the following:
- Exercise gatekeeping skills to manage complex calendars and coordinate with internal and external partners.
- Create, update and maintain Excel spreadsheets and PowerPoint Presentations; prepare meeting materials including printing and binding for executive meetings.
- Monitoring the document approval process to ensure timely and seamless presentation to the CFO and other executives.
- Support Board meetings with preparation of meeting minutes and liaise with IT for AV support.
- Reconcile monthly corporate American Express bill and collaborate with the AP department to process invoices.
- Plan and coordinate internal and external meetings and events (logistics, prepare meeting materials, draft agendas, etc.).
- Manage travel itineraries including preparing air, ground and accommodation reservations.
- Exhibit process ownership and establish good working relationships with various banking partners to prepare and update required documentation; coordinate with the accounting and finance teams and obtain necessary approvals.
- Create and maintain an organized filing and tracking system, including debt renewals, investment documents, etc.
- Perform ad hoc projects as needed.

Experience:
- 3 years minimum of administrative experience is required, ideally supporting a Managing Director or above is preferred.
- Bachelor’s degree preferred.
- Exposure to financial services and general understanding of banking and investments preferred.
Skills and Abilities:
- The desired candidate must be extremely detail-oriented, highly motivated, and exhibit strong interpersonal skills.
- Discretion is paramount as the candidate will be required to maintain a high degree of confidentiality and professionalism.
- Proven experience interacting with senior executives while leveraging superior communication skills, tact and good judgement.
- Intermediate proficiency in Microsoft Office Suite including Outlook, Excel, Word and PowerPoint is required.
- Strong IT acumen is necessary to support the team (including, but not limited to, internet research, WebEx and Zoom experience).
- Type a minimum of 65 WPM to accurately take meeting minutes.
