Executive Assistant

A multi-faceted, dynamic family office located in Park Slope, Brooklyn, NY (with offices in Akron, Ohio), is seeking an Executive Assistant to support the key stakeholder of the office. The EA will join the Brooklyn team as an essential member who interacts closely with family and staff and, most importantly, as direct support to the office’s lead Executive. The Brooklyn office is currently the full-time work space for three family members, three colleagues, and other family members often float in and out for hours or days at a time during working business hours.

The EA supports a very driven, busy, and entrepreneurial Executive who co-leads the family’s enterprise with her father. The Executive is the Vice Chair of a global company, as well as the founder of the family’s strategic management company:a service organization that supports the expansive and expanding business, non-profit, philanthropic, and family activities of the family: five start-up operating companies, a fund investing in and providing strategic guidance to early-stage companies, two family foundations, a nonprofit journal, and various other family investments.

Responsibilities:

  1.  Complete a wide range of routine and emergent administrative support tasks across multiple domains that support the Executive both professionally and personally in the day-to-day work setting;
    1. Calendar (multiple calendars), inbox, and travel management. Including arranging and rearranging appointments, keeping tabs/taking action on Executive’s busy e-mail, booking and managing all travel-related details, etc.  
    2. Acting as liaison between the Executive and her family and employees/stakeholders/colleagues/contacts across domains.
    3. General administrative support duties, i.e. meeting preparation, processing invoices & expense reports for accounts payable, tactical/logistical research, creating/editing documents, maintaining contact databases and filing systems, etc.
  2. Organize, implement, and continuously improve administrative and other support processes, systems, and ways of working, including developing/applying best practices and closely coordinating and collaborating with other entities’ executive assistants;
  3. Support maintenance of internal and external relationships; and
  4. Maintain confidentiality.

Requirements: 

  • A minimum of 5 years of executive administrative experience in a fast-paced business environment requiring high professionalism and confidentiality.
  • Experience in family office, multi-division corporation, and/or private equity or venture capital firm supporting an executive with a diverse portfolio of responsibilities required. Or alternative comparable experience.
  • Bachelor’s degree required.
  • Knowledge and ability to use basic Windows and Apple software (Microsoft Office, iPhone), Google docs, Adobe Reader, required. Ease with technology and ability to learn and use new apps, software, and devices quickly.
