Our client family is headquartered in the Southwest and is in the process of improving its existing family office operations including the technology infrastructure, financial reporting and data integration systems, security systems, and client service support levels. In addition the family is migrating activities from a legacy office located on the East Coast, which will continue to operate. The family’s wealth is the result of a highly successful business, as well as several real estate development / direct investment ventures. There are also significant ongoing business interests with which the family is actively involved. As a result, the family office has direct oversight for a significant amount of wealth, the management of which is highly complex and involves a large number of sophisticated multi-entity structures, all of which are supported by technology and systems infrastructures.

The family office serves three generations of family members, all residing domestically, however several family members have residences located internationally. Having come from humble beginnings, the family values hard work, integrity, honesty and loyalty, which they would like to see reflected in the individuals hired into their family office. Core values of self-reliance and entrepreneurship are deeply imbedded in the family’s history, as is the commitment to global philanthropic activities that are manifest primarily through its foundations.

The Director of Information Technology is a critical role that will provide systems and technology leadership to the family office, as well as support the needs of the family members served. The family office is functioning well and is comprised of 45 employees, some of whom are located at the East Coast location and internationally. The family also utilizes a broad array of external resources including attorneys, investment advisors, tax CPA’s, and consultants.

THE OPPORTUNITY

In this very impactful role, the Director of Information Technology will join a dynamic and highly skilled senior leadership team and have primary responsibility for the technology and systems leadership of the family office.

This individual will have extensive ongoing interaction with family members, the family office leadership team and family office staff, and he/she will be responsible for leading the development, evolution, operation and management of the technology and systems platforms supporting the family office including operations, project initiatives, user support, and strategic planning and budgeting.

This individual will work supportively with family and office team members to provide thoughtful leadership around new ideas and initiatives to enhance and/or further evolve the effective and efficient use of technology and systems within the family office and within the residences of family members.

Finally, in addition to technology and systems leadership, the family is seeking an individual whose core values are aligned with those of the family and who can help support and maintain these core values within the family office.

POSITION SUMMARY

Reporting to the designated Family Office Management team members, the Director of Information Technology will work collaboratively with family members, the family office management team, and advisors to solidify the vision as well as the strategic and operational infrastructure for the systems and technology needs of the family office. As the senior most technology professional within the office, the Director of Information Technology will need to provide leadership and demonstrate good judgment. In addition, this individual will strive to instill a “best practices” philosophy in all functional areas.

Family Office Management - Operations

• Oversee the day-to-day technology and systems operations of the family office including data centers, networks, telephony, storage and end-user computing. This extends to all end users regardless of their location in an office or residence.

• Interface with and manage external vendors including desktop and server support, telecom, security and network connectivity.

• Manage the cellular service for family members and employees including hardware and connectivity.

• Analyze technology and systems related operational issues impacting the family office; assess and determine their impact and make recommendations for improvement.

• Manage business continuity and recovery of technology components including needs analysis, design, plan implementation and documentation.

• Support the recent office move with follow up on technology items as needed.

• While this is currently a “sole contributor” role with no direct reports, there may eventually be staff reporting to this individual. At such time, this individual will hire, manage and mentor staff as needed. Also, develop a plan for ongoing professional development of the staff including himself or herself.

• Plan and facilitate periodic meetings with family members and team members to discuss and review new technology applications and products and their use.

• Serve as primary liaison with external technology systems consultants and advisors, and work closely with the consultants which implemented the current infrastructure and which support the servers in both office locations.

• Work in collaboration with Estate Managers and personal assistants to family members to ensure that the technology systems supporting lifestyle management services (estate management, aviation, security, bill pay, etc.) are being effectively and efficiently utilized.

Project Initiatives and User Support

• Provide executive level desktop support and IT needs, and for other users manage outsourced providers for basic support levels.

• Oversee each residence’s personal internal infrastructure, and provide individual family members with IT needs such as planning and assistance with devices, connectivity, etc.

• Support certain employees with office related IT needs within their homes, and support household employees IT needs as needed.

• Advise household employees on residence “Smart Home” and other technology, including coordinating with vendors and supporting decision making.

• Given the size and complexity of the family’s investment and business interests, there is a critical need for integrated and comprehensive reporting systems to capture and manage the complex inflows of data from numerous entities. The Director of Information Technology will work collaboratively with the Chief Financial Officer and Chief Accounting Officer on these important data management initiatives.

• Support the ongoing implementation and operation of the financial applications being used by the investment and non-investment teams.

• Establish credibility throughout the family office and with family members by providing effective and accurate responses to user questions and/or requests for information, as well as thoughtful solutions to operational or technology challenges.

Strategic Planning

• Manage the inventory life cycle of hardware, software, firmware, etc., including budgeting and strategic planning.

• Working in partnership with the senior leadership team, provide ongoing operational and strategic leadership input across various family office concerns, particularly as they relate to or are impacted by technology and systems.

• Research, develop and implement best practices as they relate to technology and systems infrastructures supporting family office operations and controls. This will include drafting and rolling out appropriate policies, procedures and controls, many of which exist today.

• Participate in and/or support the annual planning and budgeting processes of the senior management team.

• Ensure IT controls are effective by developing and executing a periodic testing program.

General Administration

• Develop and maintain effective and secure technology systems.

• Develop and maintain appropriate document retention policies and procedures.

• Manage professional service providers and associated budgets.

• Manage relationships with outside professionals as appropriate.

• Consult with managers of other entities as needed.

Skills and Experience:

• Bachelor’s degree in computer science or related field from a top tier university.

• Minimum 10 years of relevant work experience including several years in a project management type capacity.

• VMWare Virtualization – implementation and management of virtualized servers; experience with both VCenter and VSphere.

• Microsoft Technology – experience deploying and managing Exchange, Active Directory, Sharepoint, and SQL Server.

• Security – state of the art firewall, encryption an intrusion protection.

• Disaster Recovery and Business Continuity Planning – experience managing an active-active redundant configuration to provide near-real time fail-over capabilities.

• Financial Applications – experience with the implementation and use of computer based accounting and integrated financial reporting systems; experience with front/middle/back office systems for investment managers; experience with Advent Geneva considered a plus.

• Data aggregation – experience with database management systems and report writer and/or query languages.

• Data privacy – managing confidential and protected information classes.

• Practical experience in recruitment, selection, supervision and development of professional and support staff.

• Experience in working with high net worth individuals and family businesses.

• Ability and willingness to be a “hands-on” technology manager in the day-to-day family office operations.

• Must be self-confident, knowledgeable and able to exercise sound judgment in conducting research, analysis and decision making, and when responsibilities should be outsourced to existing or new service providers/advisors or be done internally. This includes assessing service providers on an ongoing basis to ensure they are acting in the best interest of the family.

• Must possess an exceptional understanding of - and appreciation for - how technology can be used effectively to improve operational efficiency for business, personal, and in-home user needs.

• Must have strong project management skills, and be highly organized and able to effectively manage multiple priorities simultaneously.

• Must be proactive, have a strong sense of urgency, and be comfortable with change. • Must be a confident, self-directed problem solver.

• Must be willing to travel as needed.

• Must have integrity and be approachable, respectful and instill confidence and trust in their ability to handle complex and sensitive financial and personal information both internally and externally.

• Have a strong understanding of and familiarity with best practices in a family office environment related to technology and systems.

LOCATION

Main office (location confidential), with travel to other offices and homes as required.

This position will report to the designated Executive Management team members.
