Chief Operating Officer - Real Estate
CLIENT
Our client’s family office is headquartered in the Western United States and is a well-established single-family office that has been running effectively for more than fifteen years. The family’s wealth was the result of two highly successful energy-related businesses.
The family currently has approximately 45 entities including business, private equity, real estate, capital market investment entities, family production business entities, trusts, aircraft, yacht, several trophy personal residences and a private foundation. The family also supports many close and dear friends and family members.
The family spans three generations - (G1) husband and wife, hereinafter “Principals”, (G2) their two adult children, and recently (G3) their grandson, and includes three primary households, all of which are in the domestic United States.
OPPORTUNITY
Reporting to the Principals, the Chief Operating Officer (COO) will support the Family primarily in connection with the operation of the several households and related staff, and will also provide critical operational support – much like a Chief of Staff role - in the management and execution of a broad array of personal family interests.
In this “hands-on, roll up your sleeves” role, the COO will work collaboratively with the Principals to solidify the vision for the domestic operations of the Family, as well as the strategic and operational infrastructure. The COO will also strive to instill a “best practices” philosophy in all functional areas to improve workflow, simplify reporting procedures, and enhance service delivery to the Family.
The Family’s personal operations are entrepreneurial in nature, i.e., dynamic, shifting priorities, and varying response times, and the Family utilizes a broad array of external resources and consultants as needed, including attorneys, engineers, general contractors, owner’s representatives, etc.
Finally, the family is seeking an individual who aligns with their core values and can help to support and maintain these values throughout their related organizations. These core values include, respect, integrity, honesty, loyalty and hard work.
POSITION SUMMARY
The COO will work collaboratively with the family office team to enhance and deliver on the vision and goals/objectives of the Principals, as well as the strategic and operational infrastructure for the Family’s personal initiatives.
Domestic Operations Management
· Oversee the day-to-day operations for domestic operations including:
o Human Resources, Employee Staffing and Check-Ins, and Protocol Management
o Real Estate, Property Budgeting, Project Management, Purchasing
o Logistics, Policies and Procedures,
o Security, Insurance, Information Technology – Homes, and Legal Liaison
o Concierge Service Delivery Model
· Establish credibility throughout the family office, business operations and with family members as an effective developer of solutions to operational and business challenges.
· Analyze operational issues impacting the various properties and provide oversight and recommendations for improvement as needed.
· Hire, manage and mentor staff as needed. Also, develop a plan for ongoing professional development of the staff and provide cross-training opportunities to insure flexible staffing.
· Work in collaboration with Personal Assistants to Principals to ensure that lifestyle management services are being effectively provided to the Family.
· Provide strategic and operational input and leadership decision making on issues and/or initiatives impacting the domestic side of the organization.
· Research the feasibility of proposed capital expenditures / renovations and analyze the potential ROI for the same.
· Plan and facilitate periodic meetings with the Principals and appropriate advisors, including preparation of meeting materials.
Human Resources, Legal and Risk Management
· Work in collaboration with the Director of Human Resources and other external service providers to oversee the following for all domestic employees:
o Employment practices, policies and procedures, and employee handbook revisions
o Compensation and employee benefits
o Recruiting including sourcing, drafting job descriptions, scheduling interviews and preparing offer letters and packets
o New hire setup, on-boarding process, and performance review process
o Employee discipline and documentation, and protocol management and enforcement
o Ensuring compliance with Fed and State employment laws (domestic employees currently in the following states…NY, CA, FL, ID, CO).
· Work with outside legal counsel to oversee the legal affairs as they relate to domestic operations, including special issues and outstanding legal settlements as needed.
· In collaboration with the Family Office CFO, evaluate and periodically review insurance policies to assure that appropriate types and levels of coverage are in place given the evolving needs of the family, including review of family member real property holdings, special events, transporting family vehicles and/or personal property.
Concierge & General Administration
· Manage domestic employees as directed by the Principals.
· Ensure protocols are followed, oversee daily check-ins of employees as directed by the Principals.
· Ensure excellent customer service to internal and external customers and vendors.
· Work closely with the Principals to ensure gifts and celebrations are executed as directed in a timely and highly efficient manner.
· Manage policies and procedures as directed by the Principals and work to instill best practices.
· Execute assignments as directed by the Principals in a timely and highly responsive manner.
· Develop and maintain appropriate documentation retention policies and procedures.
· Approve invoices for domestic activities and/or assign to domestic employee for approval.
Construction, Renovations and Project Management
· Manage external professional service providers, property managers and/or special project budgets.
· Manage relationships with - and oversee the activities of – outside professionals as needed.
· Develop and maintain effective and secure business solutions, and work with outside consultants to provide direction based upon Family preferences and protocols.
· Work with domestic Family Office personnel to achieve desired results as directed by the Family.
· Assure timely and on-budget delivery of projects as directed by the Principals.
· Ensure that properties and projects are always approached with a “safety first” mentality, and be proactive to avoid any potential liabilities for the Family.
Purchasing and Logistics
· Work with domestic family office personnel and external service providers to achieve desired results as directed by the Principals.
· Work collaboratively with the Family Office CFO to manage insurance coverage for transporting family vehicles and/or personal property.
Security
· Manage professional service providers as directed by the Principals.
· Troubleshoot and provide solutions for issues that may arise, and take direction from the Principals on strategic security initiatives.
· Review contracts and relevant paperwork to meet preferences of Family to provide 24/7 coverage and 1 hour response time.
Information Technology
· In collaboration with Family Office Chief Technology Officer (CTO), manage professional service providers and associated budgets for domestic IT needs.
· Manage relationships with - and oversee the activities of – outside professionals as needed.
· Develop and maintain effective and secure business systems, and work with CTO to provide safe, secure and effective information technology systems.
DESIRED CANDIDATE
The ideal candidate will be a discreet, self-driven family office executive with broad business management and relevant operational experience. The ideal candidate will possess the following qualifications/characteristics:
Skills and Experience:
· Bachelor’s degree with a minimum of 10-15 years of relevant experience in domestic operations.
· Strong leadership experience in working with high net worth individuals and/or complex family owned businesses, including experience working with and supporting a family through a generational transition of wealth and/or business interest, as well as having management oversight for large homes and/or estates.
· Must possess a strong client-service mind set and be comfortable in an environment where priorities and schedules can change constantly and often times on very short notice.
· Practical experience in recruitment, selection, supervision, and development of professional and support staff is essential, coupled with a working knowledge of Fed and State employment laws.
· Solid human resources management experience and familiarity with the issues common in family office environments including protocols, policies and procedures.
· Must have direct, hands-on experience with domestic household operations and ancillary services.
· Solid experience in strategic planning, domestic property management and financial oversight for the same including budgets and operational commentary.
· Exceptional understanding of and familiarity with best practices in a family office environment related to decision making, governance and operational structures.
· Excellent project management skills.

· Ability and willingness to be both “hands-on” and to “delegate when appropriate” in the day-to-day family office operations.
· Must be comfortable in a boutique, professional service firm model where everyone is responsible for their respective tasks and getting things done is the standard.
· Must have an uncompromising commitment to “service excellence” and be able to deliver this outcome across a variety of family entities and interests on a continuous and consistent basis.
· Must have exceptional emotional intelligence and be a highly skilled communicator and facilitator; with the ability to effectively communicate complex concepts and strategies in a clear and concise manner to a variety of audiences.
· Must be self-confident, knowledgeable, and able to exercise sound judgment in conducting research, analysis and decision making. A confident, self-directed problem solver.
· Must exercise sound judgment in assessing when responsibilities should be outsourced to existing/new service providers/advisors or be done internally, including assessing service providers on an ongoing basis to ensure they are acting in the best interest of the family.

· Must possess a strong understanding of – and appreciation for – how technology can be used effectively to improve operational efficiency.
· Must be highly organized and able to manage multiple priorities simultaneously.

LOCATION & TRAVEL
The position will be based in Los Angeles, likely near Century City or Beverly Hills, and will require travel to the various properties as needed by the Principals; some of which will be scheduled and some of which will be on short notice.
REPORTS TO
This position will report to the Principals.
COMPENSATION
An excellent compensation package will be designed to attract an outstanding individual, including relocation as needed.
