Bookkeeper/Accountant
Description
The 1911 Office, LLC is the single family office for the G&G Family. The 1911 Office is dedicated to providing services for the family and supporting its strategic vision, governance, and philanthropic work, including the family foundation.
The Bookkeeper is responsible for day-to-day bookkeeping, performing accounting assignments and preparing accounting statements and financial reports. This role is also responsible for assisting with the general administrative tasks and provides a wide variety of advanced clerical support and organization management of office resources to facilitate the efficient operation of the 1911 Office and its clients.
There is a preference for someone who is based near Keene, NH, but we are open to the possibility of this role being filled by someone who is fully or partially remote.
Requirements
Primary Responsibilities:
- Day-to-day bookkeeping
- Run financial reports as requested
- Assist the Accountant with accounting assignments
- Provide advanced administrative and clerical support
Accounting
- Handle the accounts payable process by reviewing invoices for accuracy, obtaining necessary approvals, and remitting payments in a timely manner according to the 1911 Office policy
- Respond to inquiries from vendors
- Prepare and distribute 1099 forms
- Audit petty cash for reimbursement
- Handle the accounts receivable process by preparing invoices to clients, following up for payment, and posting deposits in the accounting system
- Prepare letters of authorization for cash transfers and bill payments, obtain authorized signatures, submit to custody bank for processing, confirm transaction, and post in accounting system
- Data entry of various custody and investment statements
Administration
- Collaborate and work effectively with team members, clients and external advisors and vendors
- Conduct research, compile data and prepare paperwork for presentation for family members and staff as requested
- Prepare responses to correspondence for general routine inquiries as requested
- Provide back up to the Administration and Program Manager
- Provide support for projects as they arise
- Provide additional duties as required
Qualifications, Skills, and Knowledge Required:
- Bachelor's degree in Accounting, Business Management, or related field highly desirable; Associates degree and relevant experience considered.
- Punctual and reliable
- Excellent interpersonal skills; warm, engaging and able to work effectively with many different personalities and styles
- Strong written and verbal communication skills
- Proficient with basic office organization
- Excellent problem assessment and problem solving skills; exercises sound judgment
- Demonstrated ability to set priorities, organize workload, manage competing demands, meet deadlines
- Excellent computer skills and knowledge of relevant software, such as QuickBooks, MS Office, etc., with a strong ability to learn new software and systems.
- High level of initiative and ability to anticipate next steps
- Understanding of and ability to adhere to GAAP standards
- Knowledge of operation of standard office equipment
- Knowledge of administrative procedures and systems such as filing and record keeping
- Attention to detail and accuracy
- Team player working in a positive and helpful manner with family and staff
- Highest level of integrity and commitment to maintaining confidentiality
Supervisory Responsibilities:
This position currently has no supervisory responsibilities.
Work Environment:
This position is performed inside, in a temperature controlled environment, with noise limited to that of a typical office environment.
Physical Demands:
This position requires sitting or standing, and occasional bending and lifting of up to 10 lbs.
Expected Hours of Work:
Typical hours are Monday through Friday 9 a.m. to 5 p.m., although there is substantial flexibility in the exact hours.
Travel:
This position may require some infrequent travel, although due to COVID-19, currently no travel is occurring.
