Reports To: Heather Evans (Office Manager/Executive Assistant)

Salary: $50,000 - $55,000 (DOE)

Hours: 40 weekly 8am – 5pm (Firm start time)

 

About the Company:

SGH Management Company, LLC, a single-family office, is seeking a motivated individual to join our growing team as an Administrative Assistant/Front Desk Coordinator. The full-time assistant position will encompass a diverse administrative role requiring confidentiality, initiative and sound judgment. The Administrative Assistant will report to the Office Manager and will interact directly with the President, CFO, Principals, Controller and executives as well as clients. This unique position offers a complex variety of high-level administrative work.

Primary Responsibilities:

  • Answer office telephones as primary contact in a prompt and professional manner; direct calls to appropriate staff members
  • Greet clients and office guests as needed
  • Travel coordination: arrange business and family travel (flight, hotel, car service +)
  • Assist President, CFO, Principals, Controller and executives as needed
  • Backup to and assistant for Executive Assistant
  • Compose, edit and proofread correspondence on behalf of the executives
  • Coordinate, filter and prioritize inbound communication and mail
  • Serve as liaison between the office and IT for all technology needs
  • File (electronic and hardcopy) management
  • Complete expense reports for staff
  • Manage calendars of external and internal meetings; proactively confirm meetings with clients and prospects
  • Reconcile vendor accounts and credit card reconciliation
  • Proactively manage inventory and ordering of office supplies including food and beverages
  • Water & maintain plants
  • Perform errands (grocery, car wash, dry cleaners, returns, post office, etc.)
  • Assist with special projects as needed

Position Requirements:

  • Proven work experience as an Administrative Assistant or similar role (5+ years)
  • Extremely organized and detail oriented, with ability to multitask, problem solve and think logically
  • Experience exercising discretion and confidentiality with sensitive company information
  • Proficient in Microsoft Office Suite including Microsoft Teams (video conferencing) and ability to learn other office technologies quickly
  • Working knowledge of insurance companies, Medicare, and health supplies companies helpful
  • Possess exceptional written and verbal communication skills
  • Thrive in a fast-paced environment with an emphasis on results
  • IT knowledge
  • Have a passion to genuinely want to be of service and help wherever needed
  • 4-year college degree required
