Administrative Assistant- Part Time

The Administrative Assistant reports to the CEO and is responsible for providing administrative support for the staff and family members. The Administrative Assistant will provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors and scheduling meetings. The Assistant will also interact with external advisors and family members.

 

PRIMARY RESPONSIBILITIES

  • Open, sort, and distribute incoming correspondence
  • File and retrieve corporate documents, records, and reports
  • Manage and maintain executives’ schedules
  • Assist with financial statement preparation, financial analysis and bookkeeping
  • Assist with investment reconciliations and bank reconciliations
  • Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software
  • Read and analyze incoming memos, submissions, and reports to determine their significance and distributing as appropriate
  • Prepare responses to routine inquiries
  • Coordinate travel arrangements
  • Assist with material preparation for board meetings
  • Handle special requests and projects as assigned.

  2. College degree with the willingness to learn and grow.
  3. Self-confident, organized, effective communicator and facilitator, collaborative style.
  4. Demonstrated high intelligence, integrity, honesty and discretion.
