Administrative Assistant

Administrative Assistant to Shorenstein's Family Office.

Key Responsibilities:

  • Extensive use of various systems for data gathering, downloading, processing, and uploading.
  • Outlook scheduling involving family and senior executives
  • Obtain signatures on documents (track on spreadsheet; follow-up as necessary; be mindful of deadlines) such as amendments to legal agreements, internal investment approval forms and Hall Capital investment related agreements, bank forms and tax returns
  • Load signed legal documents, including agreements, assignments of interest and entity dissolution and formation records, into SHeL (company’s electronic library) and assign meta data as provided. Ensure original legal documents are properly stored.
  • Prepare and distribute meeting material binders as needed, to include printing appropriate labels and making sure the right size binders are kept in stock
  • Download all tax estimates, K-1s, and 1099s to network & update K-1 tracking spreadsheet.  Upload same to the Deloitte electronic data room
  • Assist with tax returns, prepare Certified Mail, and manage Certified Mail log

Required Experience:

  • 3-5 years of general office experience.
  • Strong systems experience and the ability to pick up new software systems quickly. Must be tech savvy.
  • Strong proficiency with MS Office applications including Outlook, Word, and Excel.
  • Demonstrated ability to communicate effectively both orally and in writing.
  • Working knowledge of customer services principles and practices as evidenced by 2 years of experience in a related function.
  • High School diploma or general education degree (GED).
  • Experience working in an accounting or tax environment strongly preferred.
  • Must possess or be willing to obtain a notary services license.
